Smart Spray Bodywork (formerly Smart Spray Car Care) is an independent car body repair workshop trading as a sole trader from Icknield Way, Bury St Edmunds, Suffolk, IP28 6NU. For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, Smart Spray Bodywork is the data controller for the personal information described in this policy. You can reach us on 07939 755264 by phone or WhatsApp, or through the form on our contact page.
This policy explains what personal information we collect when you visit this website, ask us for a quote, book a repair or deal with us about an insurance claim; why we collect it; who we share it with; how long we keep it; and the rights you have over it. Cookies are covered separately in our cookie policy.
When you ask for a quote or book work with us we normally collect your name, phone number, email address if you give one, the make, model, colour and registration number of your vehicle, photographs of the damage and any details you choose to tell us about how it happened. If a repair goes through an insurer or our accident management partner we may also hold your policy number, claim reference, the other driver's details where you have passed them to us, and correspondence about the claim. When you pay us we record what was paid and how, but card details are handled by our card terminal provider and are never stored by us.
When you use this website our hosting provider records standard technical information such as your IP address, browser type, the pages you visit and the time of your visit, in server logs used to keep the site secure and working. We do not use analytics or advertising cookies on this site. See the cookie policy for details.
Almost all of the information we hold comes directly from you, by phone, WhatsApp, the contact form on this site, email or in person at the workshop. Where a repair is arranged through an insurer, a lease company, a fleet operator, a dealer or our accident management partner, they may pass us your contact and vehicle details so that we can carry out the work.
We use your information to give you a quote, to book, carry out and invoice repairs, to talk to you about the work, and to deal with insurers, lease companies or accident management partners on your behalf. The lawful basis for this is that it is necessary to perform a contract with you, or to take steps at your request before entering into one. We also keep records of the work we have done and the money we have received because we are legally required to for tax and accounting purposes, and we may use your details to respond to a complaint or to establish, exercise or defend a legal claim, which is in our legitimate interests. We will only send you marketing if you have agreed to receive it, and you can withdraw that agreement at any time by contacting us.
Most of our quotes are done over WhatsApp. When you message us on WhatsApp your messages and photographs are processed by WhatsApp (Meta Platforms Ireland Limited) under its own privacy policy. We treat what you send us in the same way as any other quote request. If you would rather not use WhatsApp, you can phone us or use the contact form instead.
We share your information only where it is needed to do the job you have asked us to do. That can include your insurer or the other party's insurer, our accident management partner where you have chosen to use them for a non fault claim, a lease or fleet company where they are paying for the work, paint and parts suppliers where a specific part has to be ordered for your vehicle, and our accountant. Our website is built and hosted on Webflow, and messages sent through the contact form are stored by Webflow before being forwarded to us. We do not sell your information and we do not share it with anyone for their own marketing.
Webflow and WhatsApp may store data on servers outside the United Kingdom, including in the United States. Where that happens the transfer is covered by the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, which those providers include in their terms, together with their own security measures.
Quote requests that do not lead to a booking are deleted within 12 months. Records of work we have carried out, including invoices, photographs of the repair and correspondence, are kept for six years after the end of the tax year in which the work was done, because HMRC requires us to keep them for that long and because the paint and bodywork warranty on the repair may still be running. Insurance and claim correspondence is kept for the same period. Website server logs are kept by our hosting provider for a short period for security purposes only.
Your information is held on password protected devices and accounts, and this website is served over HTTPS. Only the people who need to see your details in order to quote for or carry out your repair have access to them.
Under UK GDPR you have the right to ask for a copy of the personal information we hold about you, to have inaccurate information corrected, to have information deleted where we no longer need it, to object to or restrict certain uses of it, and to have information you gave us provided to you in a portable form. Where we rely on your consent you can withdraw it at any time. To exercise any of these rights, phone or WhatsApp 07939 755264 or use the contact form. We will respond within one month and will not charge you unless a request is clearly excessive.
If you are unhappy with how we have handled your information, please tell us first so that we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
This site contains links to other websites, such as WhatsApp and the ICO. We are not responsible for how those sites handle your information, so please read their own privacy policies.
We will update this page if the way we handle personal information changes. The date at the top shows when it was last revised.
We only use one cookie, and that is to remember your choice here. We do not currently run analytics or advertising cookies; if we ever add any, they will only run if you accept. See our cookie policy and privacy policy.
